Step-by-Step Application Workflow

Sequential procedure from online government filing to passport collection

Step 1
Choose a Polish consular office in the UK

Polish passport applications can be submitted at any Polish consular office in the UK. The current Polish government lists the consular offices in London, Manchester, Edinburgh and Belfast. The finished passport is normally collected from the same office where the application was submitted.

Step 2
Book a passport appointment through e-Konsulat

Use the official e-Konsulat system to arrange a passport appointment. The current London guidance uses appointment slots or a waiting list when demand is higher than available appointments. Each consular office publishes its own appointment arrangements.

Step 3
Prepare the photograph and supporting documents

Bring the required biometric photograph, your valid Polish passport or Polish identity card if issued, and any documents supporting a reduced fee, personal-data change or other special circumstance. Applicants with unusual citizenship or civil-status situations may be asked for additional Polish documents.

Step 4
Attend the appointment in person

An adult must submit the passport application personally. The consular employee prepares the application electronically during the appointment; the applicant checks the data and signs electronically. Fingerprints are taken when required by the passport rules.

Step 5
Pay the fee and submit the application

Pay the applicable passport fee when submitting the application. Polish consular offices in the UK accept cash and credit/debit cards; a bank-certified cheque is also accepted at the London Consular Section. The applicant receives confirmation containing the passport application number, which can be used to check the application's progress.

Step 6
Collect the passport or arrange postal delivery

The consular office provides the expected collection date when the application is submitted. The previous valid passport or temporary passport should normally be brought when collecting the new document; it is cancelled and returned subject to the applicable rules. In justified cases, postal delivery may be allowed if the applicant supplies the required prepaid Special Delivery envelope and postal-delivery request.

Frequently Asked Questions

Key questions on consular processing, appointments, and fees for Poland nationals in the UK

Yes. The current Polish government guidance does not impose a fixed 6- or 12-month renewal window. You can apply for a new passport even when the existing passport still has years remaining. Re-issue is also appropriate when personal data need to be changed or when the passport no longer has enough space for visas and border stamps.

The standard adult Polish passport fee is £123. Eligible applicants who qualify for a reduced fee generally pay £62. A passport for a child under 12 costs £40, while a passport for a child aged 12–18 costs £62. Fees are payable when the application is submitted.

PESEL requirements depend on the applicant's circumstances. The standard adult passport checklist does not state that every renewal applicant must bring separate PESEL documentation. People born outside Poland or people who do not yet have the required Polish civil-status records may need Polish birth or marriage records and, in some cases, PESEL-related processing before or during the passport procedure.

No. For an adult application, the current Polish government guidance says the passport application is prepared electronically by a consular employee during the appointment. You check the information and confirm it by signing electronically on a Signature Pad. You still need to book the appointment through e-Konsulat and bring the required supporting documents and photograph.

Postal delivery may be possible in justified circumstances if the consulate agrees. You must bring a correctly addressed and prepaid Special Delivery return envelope of up to 100g and the required request for postal delivery to the passport appointment. The consulate does not send a passport outside the area of competence of the office that accepted the application.

You can ask the consulate about a temporary Polish passport. The current UK fee table lists £18 for a temporary passport issued while waiting for a biometric passport, while a standard temporary passport costs £44 during normal office hours. The temporary document may not be accepted for every destination, so check the destination country's current entry requirements before travelling.

UK Status & Consular Requirements:
  • UK immigration status such as settled status, pre-settled status or a UK visa is not listed by the current Polish adult passport guidance as a standard passport document. Polish citizens apply for their Polish passport through the Polish consular authorities.
  • The Polish government states that an adult passport application may be submitted at any Polish consular office in the UK, so applicants should not assume that they must use the office nearest their home address.
  • Applicants should follow the individual consular office's current appointment and collection instructions because appointment availability and local procedures can differ.
