Step-by-Step Application Workflow

Sequential procedure from online government filing to passport collection

Step 1
Choose the correct passport service and jurisdiction

First identify whether you need a normal re-issue, Tatkaal, lost/stolen/damaged replacement, minor passport service or another category. Select the Indian Mission jurisdiction that corresponds to your UK residence before submitting the online form.

Step 2
Complete the Government passport application

Use the Government of India's mission passport portal at mportal.passportindia.gov.in/mission/ to complete the online application. Print the completed application and sign it where required.

Step 3
Book a VFS appointment and prepare the fee

Book a passport-service appointment with the VFS Indian Consular Application Centre for the correct jurisdiction. The current VFS passport process requires prior appointment for standard in-person submission. Pay the applicable passport fee and VFS service fee using the payment method accepted for your centre or service.

Step 4
Attend the appointment and submit documents

Bring the printed application, original Indian passport, photographs, UK status evidence, UK address proof, Indian address details, Annexure E, VFS declaration and any case-specific documents. VFS checks the file and forwards the application to the relevant Indian Mission or Post.

Step 5
Track the application and receive the passport

Track the application using the reference information provided by VFS. VFS passport guidance states that fresh and renewal passport applications have a minimum processing time of 10 days, while its process material describes delivery of processed passports in about 10–15 working days depending on the delivery option selected. Complex cases or additional verification can take longer.

Frequently Asked Questions

Key questions on consular processing, appointments, and fees for India nationals in the UK

No. You complete the Government of India passport application online, but the current VFS passport process requires submission through the relevant Indian Consular Application Centre with the required documents and a prior appointment for normal in-person submission.

The current VFS passport guidance says a full-validity passport can generally be submitted for re-issue up to one year before expiry or after expiry. Re-issue can also be used for exhausted blank pages and certain changes to personal particulars, subject to the applicable rules.

The current VFS fee table lists £61 for a 36-page adult ordinary passport and £81 for a 60-page ordinary passport, plus a £7.44 VFS service fee per application. Where Tatkaal is available, an additional £117 fee applies. Optional delivery and other services can cost extra.

The current passport-service document checklist specifies two recent colour photographs measuring 35mm x 45mm with a white background and a frontal view of the full face. Applicants should follow the current checklist for their exact service because older VFS process documents may contain different photo wording.

You should use the centre and Indian Mission jurisdiction that applies to your UK residential address. The passport-service jurisdiction currently covers London, Hounslow, Cardiff and Belfast under the London jurisdiction; Birmingham, Leicester, Manchester, Liverpool and Bradford under Birmingham; and Edinburgh and Glasgow under Edinburgh. Confirm the current VFS jurisdiction page before booking because centre arrangements can change.

Update the passport or travel-document details in your UKVI account so your eVisa is linked to the new passport before travelling. GOV.UK says you should keep your passport details up to date in your UKVI account and travel with a passport that has been added to the account. A UKVI share code is currently valid for 90 days.

UK Status & Consular Requirements:
  • Keep valid evidence of your UK immigration permission or status. VFS passport guidance refers to valid UK visa or biometric-status evidence, while UKVI now uses eVisas as the normal digital record of immigration status.
  • After receiving a new Indian passport, update the passport or travel-document details in your UKVI account before travel. GOV.UK says your current passport should be linked to your UKVI account for travel.
  • A UKVI share code is currently valid for 90 days. A share code is used to prove the relevant immigration status; it does not replace the passport-service documents required by VFS.
